Schengen visa application form guide

The Schengen visa application form looks simple, but small mistakes can create problems: wrong destination country, mismatched dates, missing host details, or answers that do not match your documents.

This guide explains how to think about the form, which official route to use, and how Visaroy helps with form filling where the country is supported.

Visaroy helps you prepare and check your Schengen visa application. It does not submit it for you and cannot guarantee a visa decision.

Which Schengen visa form should you use?

Use the official form or online application route for the Schengen country that should handle your application. That is usually your only destination, your main destination, or your first entry country when stays are equal length.

Do not choose a country because it looks easier or has more appointments. If your itinerary points somewhere else, the application can be challenged or refused at submission.

  • One destination: use that country's official route.
  • Several destinations: use the main destination by length or purpose of stay.
  • Equal-length stays: use the first Schengen country you enter.
  • Always check the official route for the country where you legally live.

PDF forms vs online portals

Some Schengen countries still have official PDF packs that Visaroy can help fill and check. Others are handled as portal or online-preferred in Visaroy, so Visaroy helps prepare the information and documents before you use the official portal.

Current PDF-supported countries in Visaroy: Austria, Belgium, Bulgaria, Switzerland, Czech Republic, Germany, Denmark, Spain, France, Croatia, Hungary, Iceland, Italy, Liechtenstein, Luxembourg, Malta, Norway, Portugal, Sweden, Slovenia, Slovakia.

Current portal-preferred countries in Visaroy: Estonia, Finland, Greece, Lithuania, Latvia, Netherlands, Poland, Romania.

Personal and passport details

Copy these details from your passport, not from memory. Name order, spelling, date of birth, nationality, passport number, issue date and expiry date should match exactly.

If you have a residence permit in the country where you apply, make sure your residence details and expiry date are consistent with the supporting documents.

  • Use passport spelling exactly, including middle names if the form asks for them.
  • Check issue and expiry dates twice.
  • Use the same nationality and residence details across the form and documents.

Trip, accommodation and host details

The trip section should match the documents you plan to submit. Dates should match your transport, accommodation and insurance. The destination country should match the Schengen country responsible for your application.

If you stay in a hotel, use the booking details. If you visit someone, use the host or sponsor details requested by the official checklist.

  • Arrival and departure dates should match the itinerary.
  • Accommodation should cover every night.
  • Host names and addresses should match invitation or sponsor documents.
  • Purpose of travel should match your supporting evidence.

Funds, costs and sponsor details

The form may ask who pays for travel and living costs. That answer should match the bank statements, sponsor letters, employer letters or invitation documents in your pack.

If someone else pays for the trip, check the official route for sponsor document rules. Some countries have specific sponsorship forms or legalised invitation requirements.

Final checks before signing

Before you sign or submit the form, compare it against your documents. The form should not tell a different story from the passport, bookings, insurance, bank statements or employment letter.

If your country uses an online portal, print and sign only where the official source tells you to. If your country uses a PDF pack, make sure you use the correct form version for the route where you apply.

  • No blank required fields.
  • No date mismatch between form and documents.
  • No country mismatch between itinerary and selected destination.
  • No different name spelling across the pack.
  • Signed in the right place, if a signature is required.

How Visaroy helps with the form

For PDF-supported countries, Visaroy places your answers onto the supported official form pack and checks the result against your documents. It does not invent a form from scratch.

For portal-preferred countries, Visaroy helps prepare and check the information you will need before you use the official online route.

You still submit through the official route yourself. Visaroy helps reduce avoidable mistakes before you get there.
