Schengen visa documents checklist
A Schengen visa application is only as strong as the documents behind it. The form matters, but the supporting documents prove your trip, your funds, your accommodation, and your plan to return.
Use this checklist to prepare the usual document set, then confirm the exact checklist with the consulate, official portal, or visa centre for the country where you apply.
Visaroy helps you prepare and check your Schengen visa application. It does not submit it for you and cannot guarantee a visa decision.
Core checklist
These are the documents most applicants should prepare before checking the exact country and residence-specific list.
- Valid passportIssued within the last 10 years, valid for at least 3 months after you plan to leave the Schengen area, and with blank visa pages.
- Application formThe official Schengen visa form for the country or portal handling your application, completed accurately and signed where required.
- Passport photoA recent biometric-style photograph that follows the rules of the consulate or visa centre where you apply.
- Travel medical insuranceInsurance valid across the Schengen area, covering emergency medical care, hospitalisation and repatriation, usually with at least EUR 30,000 cover.
- Proof of accommodationHotel bookings, an invitation, or another document showing where you will stay for each night of the trip.
- Travel itineraryFlight reservation, transport plan or itinerary that matches the dates and countries in your application.
- Proof of fundsRecent bank statements, payslips, sponsor documents or other evidence that you can support yourself during the trip.
- Proof of status and return tiesEmployment letter, student letter, business documents, residence permit, family ties or other evidence that supports your return plan.
Before you collect documents
First work out which Schengen country should handle your application. If you visit one country, apply through that country. If you visit more than one, apply through the main destination. If your stays are equal length, apply through the first country you enter.
Next check the official route for where you legally live. Some countries use consulates, some use visa centres, and some use online portals. The document list can change by location and applicant type.
- Check passport validity before booking anything else.
- Make sure every document uses the same name spelling and dates.
- Keep originals and copies separate if your visa centre asks for both.
- Do not rely only on screenshots when an official letter, statement, invoice, or reservation is required.
Proof of trip and accommodation
Your travel documents should make the trip easy to understand. The dates on your transport, accommodation, insurance and form should line up without explanation.
Accommodation should cover every night of the trip. If you stay with someone, the official checklist may ask for an invitation, host ID, proof of address, or sponsor document instead of a hotel booking.
- Transport reservation or itinerary for entry and exit dates.
- Hotel booking, rental booking, invitation letter, or host accommodation proof.
- Travel insurance that covers the full Schengen area and the full trip period.
- A simple day-by-day itinerary when your trip includes several countries or cities.
Proof of funds and ties
The consulate wants to understand how you will pay for the trip and why your plans are credible. Bank statements, payslips, employment letters, student letters, business registration, or sponsor documents all help explain that.
Different consulates use different financial thresholds and document formats, so check the official list for your residence country before you book an appointment.
- Recent bank statements with your name and clear dates.
- Payslips or employment letter if you are employed.
- Business registration, tax records, or accountant letter if you are self-employed.
- Student letter, enrolment proof, or leave approval if you are studying.
- Sponsor letter and sponsor financial proof if someone else pays for the trip.
Common document mistakes
Most avoidable problems are not dramatic. They are small mismatches that make the application look unfinished: dates do not match, insurance starts late, hotel nights are missing, or bank statements do not show the applicant name.
Treat the pack as one story. The passport, form, itinerary, accommodation, insurance and funds should all support the same trip.
- Insurance cover below EUR 30,000 or not valid across the full Schengen area.
- Accommodation that misses one night or uses a different traveller name.
- Bank statements without name, dates, account details, or recent activity.
- Employment letter with travel dates that do not match the form.
- Old passport copies, missing residence permit copies, or unclear scans.
