Appointments

Schengen visa appointment guide

The appointment is where your preparation becomes a submitted visa file. A good appointment starts before the booking: correct country, correct category, correct documents and enough time before travel.

Visa centres receive files and collect biometrics, but the consulate or mission makes the decision. Treat the appointment as document submission, not a guaranteed approval step.

Visaroy helps you prepare and check your Schengen visa application. It does not submit it for you and cannot guarantee a visa decision.

Before you book

Confirm the Schengen country responsible for the trip and the route for where you legally live. Provider names can vary by country and residence market.

Choose the appointment category that matches your actual trip purpose. A wrong category can mean the file is not accepted on the day.

What to bring

Bring the appointment confirmation, passport, completed form, photo, supporting documents, copies, insurance, accommodation, transport, funds and status evidence requested by the official checklist.

If the checklist asks for originals plus copies, prepare both. Keep the pack ordered so the counter review is smoother.

  • Appointment confirmation and payment proof if required.
  • Completed official form, signed where required.
  • Passport, residence proof and previous visa copies.
  • Documents arranged in checklist order.

Biometrics and attendance

Most applicants attend in person for identity checks and biometrics. Fingerprints may be reused in some cases, but rules vary by country, age and previous Schengen visa history.

Do not assume someone else can submit for you unless the official route says that is allowed.

After submission

You usually receive a tracking reference after submission. The service provider can track logistics, but it does not decide the visa outcome.

Processing starts according to the country rules, often when the consulate or mission receives the application. Passport return can add extra days.

Appointment mistakes

Most appointment problems are avoidable preparation issues: wrong category, missing form signature, absent copies, mismatched dates or documents in the wrong format.

Use the official checklist as the appointment script. If the checklist changed, update the pack before attending.

Schengen visa appointment guide FAQ

Who decides my Schengen visa after the appointment?
The consulate, embassy or diplomatic mission decides the visa outcome. Visa centres usually receive applications, collect biometrics and return passports, but they do not decide approval.
Can I submit a Schengen visa application by post?
Usually no for first-time or biometric submissions, but rules vary. Follow the official route for the country and residence market where you apply.
Do I need fingerprints at every Schengen visa appointment?
Not always. Fingerprints can sometimes be reused if collected recently, but country and provider rules vary, and many applicants still need to attend in person.
Can Visaroy help before the visa appointment?
Yes. Visaroy helps prepare the form details, checklist and documents so you can attend with a more consistent application pack.
